Summary

The KiwiSaver Update Tool's Details tab contains most of the criteria that controls who, what and when to update Employee Superfund records. This tab should be completed in conjunction with the Selected Funds tab

Staying Compliant with KiwiSaver

The KiwiSaver contribution rate that applies is based on the date the employee is paid.

This applies even if the pay period:

  • spans dates before and after 1 April 2026, or
  • ends on or before 31 March 2026, but payment is made after that date.

Therefore the IRD does not look at the start or end date of the pay period. The pay date is what determines the correct rate for compliance.

However, in PayGlobal process pay looks for the "current" active EmplSuperFund AND the KiwiSaver State record as at the Pay Period End Date, to use when determining what rates to pay for Employer and Employee KiwiSaver contributions. Therefore, when using the KiwiSaver Update Tool, you need to align the Application Date to the start date of the PTD where the Payment Date "1st April XXXX" falls. (or whatever date the govt say if its not 1 April)

Fields
Query:

Select a query to filter employees or accept the "Default" value to update all employees.

We recommend that you apply a query that covers only one pay period (or periods that share the same PTDs) because they may have different Application Date values. For example, update all weekly employees, then all monthly employees.

If using the tool to complete a legislative update, then we recommend applying a filter (or use the Selected Funds tab) that selects employees belonging to KiwiSaver and Complying Funds who are currently on the minimum contribution rate.

Compulsory Employer Contributions only apply to 16-64yr old employees. Unless your organisation has inclusion policies or the employee has a special IEA clause requiring you to pay super to employees under 16 and/or 65+, you may also want to filter on age so that only 16-64yr olds are updated. If using the tool to complete company only policy updates, apply the same logic as above with appropriate filters for your company policy updates.

Employee:

Select an employee or leave blank to update all employees. You can select current employees only (termination date is blank).

Update New Min. Employer (%) Contribution:

Yes/No field that determines whether the Employer (%) contribution is updated.

If you select "Yes", enter the new employer (%) amount, which must be greater than zero.

Include Employer's Salary Sacrifice (%) in calculation:

Yes/No field that determines whether salary sacrifice contributions are included in the employer's contributions.

Update New Min. Employee(%) Contribution:

Yes/No field that determines whether the Employee (%) contribution is updated.

If you select "Yes", enter the new employee (%) amount, which must be greater than zero.

Include Employee's Salary Sacrifice (%) in calculation:

Yes/No field that determines whether salary sacrifice contributions are included in the employee's contributions.

Application Date:

Mandatory field. See "Staying Compliant with KiwiSaver" above.

If you don't follow the guidance above, you may see warning messages that weren't expecting in relation to KiwiSaver when you process those pay periods where the payment date is not within the pay period date range.

Important: The Application Date must occur after any open or closed pays in the database. You can run the KiwiSaver Update Tool for dates in unopened pay sequences only..

Use only KiwiSaver and Complying Funds in calculation:

Yes/No field that determines whether employer contributions to superannuation funds that are neither KiwiSaver nor complying funds are included when calculating the Current Total Employer %. Set this field to "No" if the employer contributes to other funds that meet the criteria specified in KiwiSaver Update Tool - RSS Superannuation Funds.
