Summary

The KiwiSaver Update Tool's Run Report Only button enables you to complete a kind-of test run of the update command. The system will present you will the report showing you what will happen but not actually make any changes to the employee's Employee Superfund records.

This gives you the opportunity to ensure the settings you have applied are going to target the correct employees correct Employee Superfund records. It also gives you the chance to make any corrections to existing Employee Superfund records would the system detect the employee has multiple "current" superfunds that you were not expecting.

Note: For an Employee Superfund to be correctly marked as finished/superseded, it must have an End Date. Having a record flagged only as Inactive with no End Date will be ignored when processing a pay but is still otherwise treated as a "Current" record and will be updated by the KiwiSaver Update Tool.

Important: You can run the KiwiSaver Update Tool for dates in unopened pay sequences only.

Procedure

When you click the Run Report Only button, PayGlobal verifies the details on the KiwiSaver Update Tool form. If they are correct, then you can run the tool in report-only mode and check update details in the resultant audit log.

1. Click the Run Report Only button.

   PayGlobal verifies the details on the form.

   • If some details are incorrect, then a Warning message appears, such as:

     "The Application Date must be later that the most recent open or closed period end date in the system which is currently 02/04/2013".

     When you click OK, PayGlobal returns you to the KiwiSaver Update Tool form. You must enter correct details before you can continue.

   • If all details are correct, then the following Confirm message appears.

     "Run report on selected details?"

     Click Yes to continue or No to return to the KiwiSaver Update Tool form.

2. If you decide to continue, then PayGlobal runs the KiwiSaver Update Tool in report-only mode.

   An audit log Confirm message appears.

3. Click Yes to view the audit log.

   The log contains the following information for the selected superannuation funds:

   • Section A - Employees whose Employee Super Funds records do not require processing because the employer and employee are already contributing enough.
   • Section B - Employees who have one Employee Super Funds record that requires updating. If the employee has multiple funds, then the fund that requires updating is marked with an asterisk (*).
   • Section C - Employees who have Employee Super Funds records that the KiwiSaver Update Tool cannot update because it cannot identify which of the employee's funds requires updating for any of the following reasons:

     - More than one of the employee's funds has insufficient employer and/or employee contributions.

     - The fund that required updating already contains a future-dated Employee Super Funds record.

     Note: An employee can be in only one of these sections.

4. Press Esc to exit the log.

   If any records require updating, then the following type of Confirm message appears:

   "32 records(s) found to update. Do you wish to update these records now?"

   • Click Yes to update these records (see Update Details).
   • Click No to return to the KiwiSaver Update Tool form.
