Leave in Open Roster Pays

Overview

LOP Business Rule - Leave takes precedence

This topic describes what happens to approved leave requests in Daily View for the Rostering module.

IMPORTANT: LOP does not respect Import Roster timebands

Opening the Roster Pay

When you run Open Roster, PayGlobal looks for approved leave requests from ESS (also identified in PayGlobal as Employee Leave Request records with Module = F or T), creates a leave timeband for the day/time concerned and then fills the rest of the day with timebands from either the employee's Tour, Shift override or Timeband override.

The process and features behind run Open Roster are the same regardless of whether or not you enable LOP.

Note: Employee Leave Request records with Module = F denote the request was created from legacy modules. Once LOP is enabled all Employee Leave Request records will have Module = T or P

After Opening the Roster Pay

New Leave Requests

This section describes what happens when a leave request is approved after the roster pay is opened and before any manual edits are made to the roster timebands.

Full day requests

When a new leave request is approved PayGlobal checks the following to validate whether or not a leave timeband can be added to the open roster pay:

Provided all above points are true, PayGlobal uses the details from the leave request to do the following:

Where a roster period is not yet open, PayGlobal still creates an Employee Leave Request record but the Module = T meaning it will be added when the future roster pay is opened

Where the employee is not rostered to work there will be no timebands on the day and there no leave timebands will be created.

Where the leave request is approved AFTER the cut-off period, PayGlobal still creates an Employee Leave Request record but the Module = P meaning it will be processed in Payroll only.

If the leave request spans a Public Holiday, where the employee is expected to work, then the timebands will be updated with the Leave Request reason otherwise the Timeband reason will remain as Public Holiday.

If you use the allocations functionality and the employee was allocated for all or part of the day, the employee will be de-allocated as they are on leave.

Note: The allocation / de-allocation functionality caused by the creation and deletion of Self-Service leave requests will only be operational on open roster pays.

Partial day requests

PayGlobal applies the same validation checks as for full day leave requests.

Provided all validation points are true, PayGlobal uses the details from the leave request to replace all or part of the existing roster timeband(s).

If the leave request includes a period of time for which the employee is not rostered to work, PayGlobal will not create a timebands for those periods. In these cases PayGlobal adjusts the units requested on the leave request record to reflect what was added to the roster.

LOP_RS_NewLR_Scenarios

If you use the allocations functionality and the leave request covers the entire allocated time, then the employee will be de-allocated.

Reset Roster

If you run Reset Roster, any leave requests previously included in the Roster Pay will only be re-inserted when you re-run process Roster Pay
