Overview
The Rollback pay feature has always given you the ability to un-close a pay so that you can then either:
Prior to STP, rolling back pay had no impact on the employee's ATO reporting obligations, except if you were rolling back a pay that belonged to a tax year that you'd already filed your company Annual Payment Summary for.
Now that the ATO require you to report payroll data on a pay-by-pay basis. Any adjustments to payroll data already reported also need to be reported as this impacts what an employee sees in MyGov and what the employee see's in the Business Activity Statements (BAS - W1 and W2 amounts).
What happens on rollback for STP?
When you rollback a pay, PayGlobal has no idea which of the three processes listed above you intend to apply, therefore PayGlobal caters for the possibility of #3 occurring.
The first thing PayGlobal does once the pay is rolledback is check the status of last submission made for that pay sequence.
This submission will have Submission Type of "Rollback" and will be treated as a Full File Replacement event.
What should I do if I choose to remove the pay from the system?
If you choose to run Reset pay and select "Yes", you need to let the ATO know the data you previously reported wrong.
Submit the Pay Event that has the Submission Type of "Rollback".
The submission will have Payer totals reported as zero and Payee YTD totals will no longer include the amounts from the pay that has been reset.
If I intend to fix the pay, do I need to submit anything before I reclose the pay?
NO, if you submit the Pay Event that has the Submission Type of "Rollback", then you risk having the Pay Event created on re-close being rejected by the ATO.
The ATO can't currently handle multiple submissions for the same pay submitted on the same day.
In PayGlobal you may see SUBMISSIONFAILURE. This translates to the ATO error code CMN.ATO.PAYEVNT.EM14160
What happens when I re-close a rollback pay?
If you choose fix the pay either from running Reset pay and select "No" or adjusting directly in Transaction View, then on re-closing the pay, PayGlobal checks to see if the status of the related "Rollback" submission is "Unsubmitted".
What should I do once I've re-closed the pay?
This depends on whether your submissions are automated manual.
If there were any related earlier pay events with the Resend button still showing click the Cancel button to ensure these don't get sent by mistake. Doing so cause further unexpected error messages.
NOTE: The ATO will only accept Full-file replacements for the payer's latest submitted pay. Therefore if another pay sequence is closed and the pay event submitted before being able to submit the one from the rolled back pay, expect this to get rejected too.
What happens if the pay that's been rolledback and reclosed isn't the last closed pay for payer anymore?
Click submit but expect the file to be rejected. If rejected click the Cancel button and then contact the ATO via phone/email to manually report corrections to the ATO.
