Original ETPs

Original Employee Terminations records are the first ETP made after an employee terminates, and they have no links to any previous ETPs.

Prerequisites

  1. Employee's record contains their date of birth.
  2. ETP settings and rates are present for current tax year. See ETP Settings.
  3. Termination allowances are set up in Company Settings. See Company Settings - Termination Allowances tab.
  4. Termination types are set up in Organisation | Common Reasons | Termination Reasons. See Termination Types.
  5. Employee is not included in any other open pays.

 

Process

  1. Determine whether the termination payments are ETPs.

    If none of the termination payments are ETPs, you do not need to add an Employee Terminations record. See Termination with no ETPs.

    If some of the termination payments are ETPs, you need to include the ETP payments in an Employee Terminations record, and include the other (non-termination) payments in the employee’s final pay. See Termination with ETP.

  2. Check that the employee's final standard pay is fully processed and closed, and it contains transactions for their final pay and payments that are not defined as termination payments.
  3. Add an O. ORIGINAL Employee Terminations record, then save and confirm the record. See Add Employee Terminations Record
  4. Open a manual pay.

    Note: If an employee had multiple Employee Terminations records, you would have to open a manual pay for each of them. Each Employee Terminations record is associated with a termination transaction, and you can have one termination transaction per employee per pay.

  5. Add a termination transaction to link the Employee Terminations record to the manual pay.
  6. Process the manual pay. Ensure that the Employee Terminations | Details tab | Date of payment is correct because you cannot change it after you close the pay.
  7. Close the manual pay.

    During the Close Pay process, Exolvo updates the employee’s record with their termination date and their Employee Terminations record with the manual pay sequence, and changes its status to "Closed" (you cannot unconfirm or edit "Closed" Employee Terminations records).

  8. Run payslips and make payments.
  9. Generate a PGPRTAXA092A: ETP Payment Summary (self print) v5.2 report and send it to the employee.

    Note: If the whole payment is tax-free, you do not have to generate this report. If the payment is a 'death benefit payment to trustee' ETP, send the report to the trustee of the deceased estate.

  10. At tax year-end, generate a PGPRTAXA093A - PAYG Withholding Payment Summary Annual Report v11 (available in the 2013 Australian tax release) that includes details of the employee’s termination payment.
