Termination Transactions

When an employee ceases working for your company, you need to draw up their final pay. The termination process has the following basic steps:

1. Check other open pays. Check if the employee has transactions in any other open pays. In this example, the employee does not have such transactions, but the appendix explains how to terminate an employee with transactions in other open pays. See Appendix - Termination with Transactions in Other Open Pay.
2. Add the termination transaction. You can terminate an employee in either a standard or manual pay, but we recommend using a manual pay.
3. Check that the termination conforms to the NZ Holidays Act 2003. For example, the Act states that you need to add the employee's outstanding annual leave to the termination date and pay the employee for any public holidays in that annual leave period.

In this example, you opened a manual pay after closing Standard Pay # W/1 so the Pay Status form shows the following details:

Linda Johnstone is a weekly employee who is resigning, and her termination date is 05/04/2013. Linda received her final week’s pay in closed Standard Pay # W/1. You will create Linda's termination transaction in a manual pay to avoid delays in the standard pay run for the whole organisation if any problems occur with Linda's termination pay.

In the following topics you will:

1. Check transactions in multiple pay sequences to confirm that Standard Pay # W/1 contains Linda's final pay for 40 ordinary hours.
2. Add Linda's termination transaction in the manual pay.
3. After you process Linda's transactions in the manual pay, you will check that her termination conforms to the NZ Holidays Act 2003.

Note: You do not add a taxation override in this scenario because Linda is receiving her annual leave as a single payment on termination. If Linda took her annual leave before her termination date, then you would use a taxation override.
