Changing a leave request

Overview

If your organisation allows for approved leave requests to be edited, how this impacts LOP is dependant on:

• Whether you are a manager or an employee
• The settings on the employee's Leave Approval Settings record
• The status of your Rostering/T&A pay process at the time the leave request is changed
• The employee's Derived Roster compared with their 'current Roster'

  IMPORTANT: It is recommended that when using LOP, only managers be given access to edit approved leave requests. This ensures the changes to the employees work schedule gets updated correctly.

What happens?

When you click the Submit button upon modifying a Leave Request in ESS PayGlobal makes the following changes.

• Deletes ALL transactions from the open Roster pay (if Process Roster Pay has been run)
• Deletes ALL transactions from the open Actuals pay (if Process Actual Pay has been run)
• Modifies the "current roster" for the day using the settings from the Roster to restore on delete field on the employee's Leave Approval Settings record
• Modifies the "current actuals" for the day using the settings from the Actuals to restore on delete field on the employee's Leave Approval Settings record.
• Recalculates breaks in the same manner it would if the leave timeband had been manually deleted
• Resets the Roster Pay Status flag from processed to unprocessed (only if Process Roster Pay has been run)
• Resets the Actual Pay Status flag from processed to unprocessed (only if Process Actual Pay has been run)

"Modification" of the current Roster/Actual, basically means that either a gap in the timebands will remain or the entire days timebands (excluding other leave) is replaced by the employee's roster.

This does mean any manual changes that you made to the non-leave timebands will be lost.
