Period Calendars Creation Tool

The Period Calendars Creation Tool allows you to quickly and easily set up a complete period calendar for a taxation year, and it has the following features:

1. Uses the correct tax and payment dates based on the country settings in the database.
2. Creates a new pay period if required and can automatically populate the required pay period entities, including user-defined PTDs.
3. Automatically generates the period calendar for the required number of periods.
4. Ensures that the relevant calendar uses the correct period entities by checking the dates for each entity.
5. Uses templates and wildcards to generate the required codes and descriptions for period entities making it easy to customise these values.
6. Generates default codes and descriptions that will require no editing for most organisations.
7. Contains a preview option that produces an audit log of all proposed changes.
8. Validates details entered to ensure that names and date ranges are correct, they do not overlap, contain conflicting settings or are duplicated.
9. Allows you to retrieve history details from a previously successful update that contains all settings and codes used to generate those pay periods.
10. Allows you to roll a calendar based on an existing calendar that was created with the tool.

The Period Calendars Creation Tool command is available in the Organisation | General Periods folder and when you create a new database.

Note: In PayGlobal 1.95, you can use the Period Calendars Creation Tool only when you create a new database. It is not available in the Organisation | General Periods folder.

You would normally use the tool to prepare for the end of the tax year, when you need to create next year's calendar. However, you can use it at any time during the year to create new pay periods or to create more records for an existing pay period. When you create a new database, the Install Wizard gives you the option to "Create Period Calendars on completion". If you select this option, then the Period Calendars Creation Tool will appear when you finish the Install Wizard, and you can create the periods and calendars you require for the new database.

1. Navigate to Organisation | General Periods | Period Calendars Creation Tool.
2. Double-click the Period Calendars Creation Tool command.

   The Period Calendars Creation Tool window appears.

   The following topics explain the fields and buttons on the Period Calendars Creation Tool form using images from an Australian database.

To use the tool for the first time:

1. Complete the fields in the top half of the Details tab and the Link PTD by tab. See Period Calendars Creation Tool - Details and Period Calendars Creation Tool - Link PTD by.
2. Click Generate Codes to see the default Code and Description templates that the tool will use. See Period Calendars Creation Tool Form - Buttons. You can then edit these templates, if required.
3. Click Preview Only to check the records, codes and calendar that will be created.
4. Click Run Update to create the records, codes and calendar.
